■ Prerequisites/Notes

The tuition fees listed in this document apply to students enrolled between April 2027 and March 2029, while the student dormitory fees apply to students residing between April 2027 and March 2028. All amounts shown are the final amount payable per student (JPY). The tax treatment is as follows:

(2) Education Goals

ISI Japanese Language School aims to develop global talent who can succeed internationally in a modern society characterized by globalization, advancing information technology, and the coexistence of diverse cultures and values. To achieve this, we have established the following educational goals:

  • To develop practical Japanese language proficiency and advanced communication skills.
  • To foster international awareness and intercultural competence through respect for and understanding of diverse values.
  • To nurture global talent who are willing to proactively contribute to the realization of a sustainable international society.

(3) Diploma Policy (Policy on Accreditation of Graduation and Completion)

Students who, through their prescribed course of study, acquire the abilities listed below and meet the designated certification standards will be certified as having graduated (completed the program):

  • A Practical and high level of Japanese communication skills that lead to success in society.
  • The ability to see things from a global perspective, to accept diverse viewpoints, and to respond flexibly.
  • Problem-solving ability, flexibility, and cultural understanding needed to thrive in international society.
  • The ability to act independently in pursuit of personal growth and to proceed in a planned manner.

(4) Curriculum Policy

Educational Content

  • Students systematically develop their Japanese language abilities in reading, listening, writing, presentations, conversation, vocabulary, grammar, and pronunciation, with the aim of functioning effectively in higher education institutions and business environments.
  • Through a variety of learning activities, students develop independent learning skills and learn how to deepen their knowledge through collaboration with others.
  • Students develop the knowledge and skills required to pass examinations and earn qualifications through targeted guidance and preparation for tests such as the JLPT and EJU, tailored to each learner’s educational and career objectives.
  • Students learn to work collaboratively on challenges in order to develop international awareness and interpersonal skills.
  • Students develop career design skills that enable them to pursue their career goals independently, strategically, and proactively as they prepare for their future careers.

Teaching Method

  • Classes make use of ICT (Information and Communication Technology) to improve learning outcomes efficiently.
  • To develop teamwork, presentation, and communication skills, classes incorporate group work and active learning methods.
  • To help students become independent learners, classes incorporate resources both inside and outside the classroom, including the school's Learning Management System (LMS).
  • School-linked off-campus learning activities are conducted to deepen understanding of different cultures and strengthen connections with the local community.
  • Career guidance activities are tailored to each student's aspirations, with clear schedules and support provided through consultations with homeroom teachers and career advisors.
  • Classes are conducted using the "Direct Method", in which only Japanese is used. This approach is effective not only for learning Japanese but also for understanding Japanese culture, while naturally improving listening and speaking skills. Students are expected to actively engage in learning and seek support from instructors when they encounter difficulties.

ISI Japanese Language School welcomes students who understand its educational goals and are eager to embrace challenges in pursuit of becoming global talents who can thrive in an international environment.

  • Students who seek to understand different values, cultures, and customs as members of society, their local community, and the school community.

(6) Academic Operations Policy

  • Classes are conducted using the Direct Method, with a focus on improving communication skills in Japanese. (No foreign-language assistance is provided during lessons.)
  • Some classes incorporate active learning, ICT-based education, and school-linked off-campus learning activities to enhance learning outcomes. In some cases, students may be required to cover transportation or other actual expenses.
  • The school provides a multinational environment that promotes intercultural understanding. Students are asked to refrain from using their native language during class.
  • Students have opportunities to receive career guidance throughout the year.
  • In accordance with the requirements of the Immigration Services Bureau of Japan and as a graduation requirement of the school, students must take external examinations (such as the JLPT and JPT) to assess their Japanese language proficiency. Examination fees and transportation costs to testing venues are not included in tuition fees and must be paid separately by the student.
  • Japanese language instructors are either nationally certified Japanese language teachers recognized by the Ministry of Education, Culture, Sports, Science and Technology (MEXT), or possess qualifications that meet the standards established by the Immigration Services Bureau of Japan.
  • Throughout their studies, students are required to have a device capable of connecting to the internet, such as a computer, smartphone, or tablet. At the Shibuya-Harajuku Career Campus and Takadanobaba Career Campus, learning is conducted primarily using computers, so students must prepare a computer. At the Shinjuku Main Campus, Shinjuku Prime Campus, Ikebukuro Campus, Takadanobaba Advancement Campus, Osaka Campus, Kyoto Campus, and Nagano Campus, computers, smartphones, and tablets are also used for certain learning activities, so students should bring a device they regularly use.
  • To facilitate smooth school operations, Microsoft 365 (MS365) is used as a communication platform between the school and students. Students are provided with an MS365 account, and the email address issued by the school remains valid indefinitely. To ensure access to support after enrollment, students should complete their initial login and account registration before arriving in Japan. The account may be used free of charge while enrolled and will be deleted after graduation or withdrawal.
  • ISI Japanese Language School uses an LMS (Learning Management System), the learning application Monoxer, and an attendance management application. The supported operating environment for these tools is as follows.

  • Memory (RAM): Minimum 8GB, 16GB or more recommended.

These specifications represent the standard technical requirements for the school's classes and learning support environment. Students are responsible for preparing the necessary equipment at their own expense before enrollment. Please note that the following devices are not guaranteed to work with the "Monoxer" learning application.

  • Devices with proprietary OS (e.g., HUAWEI MatePad, etc.)

If your current device cannot be updated to a supported version, you will be required to obtain a compatible device.

2. About Application: Admission without a Study Visa (Short-Term Program)

Visa Categories

1. Temporary Visitor Visa

  • Temporary Visitor Visas are issued by Japanese embassies or consulates overseas.
  • Holders of passports issued by visa-exempt countries or regions may enter Japan without obtaining a visa.
  • For some nationalities, even if visa exemption arrangements are in place, we recommend applying for a Temporary Visitor Visa in advance through a Japanese embassy or consulate overseas. (Please check the website of the Japanese embassy or consulate to confirm whether your country or region is visa-exempt.)
  • Depending on the applicant's nationality or region, a Temporary Visitor Visa may be extended, allowing a stay of up to six months.
  • Applicants from countries or regions that are not visa-exempt may be required to submit supporting documents, such as a letter of invitation, when applying for a Temporary Visitor Visa. If the School is requested to prepare a letter of invitation, a minimum enrollment period of eight weeks and other conditions may apply. Please contact us for details.

2. For Residents of Japan Holding a Valid Residence Status

  • Applicants who hold a residence status permitting them to stay in Japan for purposes other than studying. (Examples include Working Holiday, Dependent, Spouse, Permanent Resident, and Long-Term Resident statuses.)
  • *Please refer to each school's calendar for admission dates. Applicants with no prior Japanese language experience should enroll on the designated admission date of their chosen school.
  • *Applicants wishing to join a course mid-term must first take a placement test. If there is availability in a class matching their level, they may enroll on one of the mid-term admission dates listed in the school's academic calendar. Once admission is confirmed, they may begin studying in the class appropriate for their level.

Admission Requirements

  • Applicants must be at least 16 years of age. Please contact the School if you are under 16.
    • *The School does not provide 24-hour student support services. For students under the age of 18, we recommend staying with a guarantor residing in Japan, or in accommodation arranged by the School, such as a student dormitory, guesthouse, weekly apartment, or homestay.
  • Applicants must demonstrate a genuine commitment to their studies. (Applicants entering Japan on a Temporary Visitor Visa cannot take the “Employment Class,” an elective course within Academic Japanese.)
  • Applicants must have sufficient financial resources to cover their expenses during their period of study.
  • Applicants must fully understand the School’s philosophy, educational objectives, learning outcomes, and policies.

    *Black-and-white photographs are not accepted.
    *Images taken with a smartphone or digital camera are acceptable.
  • Homestay Application Form (only for applicants requesting homestay)
  • Copies of Both Sides of the Residence Card (for residents of Japan)
  • Documents Required for Letter of Invitation Preparation (only for applicants requiring a letter of invitation)
  • *Applications can be submitted directly through the online application form.  Please complete the form, download the required documents, and send them to the School representative.

Short-Term General Japanese [Offered at All Campuses Except Career Campuses]

  • The minimum application period is 2 weeks.
  • These prices apply to students enrolling in short-term programs for less than 3 months (or less than 6 months, depending on nationality), or to students who already hold a visa allowing them to stay in Japan.
  • Mid-term enrollment may be possible depending on the results of the placement test and class availability.
  • As a general rule, the application deadline is 30 days before the enrollment date. For mid-term enrollment, this means 30 days before the course start date.
  • The enrollment fee is charged only once at the time of initial enrollment. After that, fees are charged according to the length of study
  • Material fees are charged based on the number of academic terms studied. (For study periods spanning multiple academic terms, material fees are charged for each term.)

Career Japanese: Working Holiday Support Program

This course is designed for students who have obtained, or plan to obtain, a Working Holiday Visa. In addition to regular Short-Term Career Japanese classes, the course includes support for gaining work experience. Through work experience in Japan, students can develop practical communication skills.

Evening Course [Offered at Shibuya-Harajuku Career Pathway Campus]

  • The minimum application period is 4 weeks.
  • These prices apply to students enrolling in short-term programs for less than 3 months (or less than 6 months, depending on nationality), or to students who already hold a visa allowing them to stay in Japan.
  • The enrollment fee is charged only once at the time of initial enrollment. After that, fees are charged according to the length of study
  • Material fees are charged based on the number of academic terms studied. (For study periods spanning multiple academic terms, material fees are charged for each term.)

Evening Course: Working Holiday Support Program

This course is designed for students who have obtained, or plan to obtain, a Working Holiday Visa. In addition to regular Evening Course classes, the course includes support for gaining work experience. Students can study Japanese in the evening while gaining work experience during the day.

  • One lesson is 45 minutes.
  • Teaching material fees are not included in the prices listed. Students are responsible for the actual cost of teaching materials.
  • If you have any requests regarding the day, time, or location, please contact the School.
  • The instructor arrangement fee must be paid in a single payment at the time of application. This fee will be charged each time a contract is made.
  • Lesson dates and times may be changed if you contact us by 5:00 p.m. two business days before the scheduled lesson date. Changes will be arranged in consultation with the instructor. Please note that changes cannot be made after 5:00 p.m. two business days before the scheduled lesson date.

  • Students live with a Japanese host family for a short period.
  • Commute time: approximately 60 minutes by public transportation. From April to August, commute time may be up to 90 minutes.
  • Stays are available for up to 12 weeks. Extensions may be possible after arrival, but the host family may change. If you wish to extend your stay, please inform us when you first apply.

Accommodation and Airport Pick-up Arrangement Process

Student Dormitories
STEP 1

Please apply using the application form or application document.

STEP 2

Based on the accommodation type selected in your application, the School will arrange accommodation within commuting distance.

STEP 3

The School will check student dormitory availability and make arrangements.

  • *If the number of applicants exceeds capacity, accommodations will be assigned by lottery. Applicants will be notified of the results as soon as possible.
STEP 4

After application, the School will send an invoice for tuition and accommodation fees.

STEP 5

After payment has been confirmed, the school will send information regarding your accommodation and airport pick-up arrangements (Accommodation Confirmation Letter) approximately two weeks before the start of classes.

  • *If payment is not received by the specified deadline, the accommodation reservation may be automatically cancelled. Cancellation fees will be handled in accordance with the School's Cancellation, Refund, and Remittance Regulations.
STEP 6

Book your flight and inform the School of your arrival date/time and flight information, including your e-ticket, at least two weeks before arrival.

  • *Please submit your flight information regardless of whether you have requested airport pickup. Please make arrangements to arrive on the designated student dormitory move-in date whenever possible.

The School will make the accommodation reservation.

  • *Applicants requesting homestay must submit the Homestay Application Form at least two months in advance. Arrangements will begin after the form has been submitted.

After application, the School will send an invoice for tuition and accommodation fees.

STEP 5

After payment has been confirmed, the School will send accommodation information, such as move-in instructions and host family details, as well as airport pickup information.

  • *If payment is not received by the specified deadline, the accommodation reservation may be automatically cancelled. Cancellation fees will be handled in accordance with the School's Cancellation, Refund, and Remittance Regulations.
STEP 6

After your accommodation has been confirmed, please book your flight and submit your arrival date/time and flight information, including your e-ticket. Students who have requested airport pickup must submit their e-ticket at least one month before arrival.

Notes

  • Student dormitory accommodation in Tokyo, Osaka, and Kyoto is contracted in units of 1 term / 3 months. Student dormitory accommodation in Nagano is contracted in units of 3 months.
  • If student dormitory applications exceed capacity, a lottery will be held. If you are not selected, we will provide information about external accommodation referral services.
  • Please contact the Admissions Counseling Center if you have any questions regarding move-in or move-out dates for each academic term.
  • Check-in times and flight arrival times vary depending on the accommodation type. Please check the times below carefully. If check-in is required outside the times below, or if your flight arrives outside the times below, please contact the person in charge before booking your flight.
  • We may not be able to accommodate move-ins on Saturdays, Sundays, national holidays, or outside check-in hours. Please consult us in advance.
  • If you send luggage before moving in, please specify a date and time after your arrival when you can receive it yourself.
  • If you wish to extend your stay in a student dormitory, please apply directly to the accommodation after moving in. Extensions are possible only when rooms are available.
  • Refunds cannot be made after move-in.
  • Students staying in student dormitories or with host families may need to wait at the airport for some time.

6. Payment Information

Payment Methods

Payment methods for tuition and other fees are bank transfer, Flywire, or WeChat Pay.

Payments via Flywire:

  • Flywire is an international payment service designed for educational institutions, allowing payments by bank transfer from your home country or by credit card.
  • Students enrolling at ISI Japanese Language School should access the Flywire payment page designated for their campus and create an account before making a payment. The website is available in multiple languages, including English, Simplified Chinese, Thai, Korean, Spanish, French, Japanese, and Portuguese.
  • Please refer to your invoice for payment instructions.

Payments via WeChat Pay:

  • Payments can be made using the cross-border tuition payment platform provided through the official WeChat Mini Program "Japan National Consulate". This program is officially recommended by WeChat Pay.
  • Please access the dedicated webpage for your campus at ISI Japanese Language School and enter the information and payment amount according to the details provided on your invoice. The page is available in Simplified Chinese.
  • Please refer to your invoice for payment instructions.

Transaction Fees

  • For bank transfers, separate bank transfer fees will apply.
  • All fees associated with remittance or payment processing are the responsibility of the applicant.

Payment Timing

  • Before enrollment: Payment is due approximately 1–2 months before the month of enrollment.
  • After enrollment: Payment is due approximately 2–3 months before the end of the academic term being paid for. (In other words, approximately 2–3 months before the next academic term begins.)

Payment Deadlines

  • For all payments, please check the invoice issued by the School representative and make payment by the deadline stated on the invoice.
  • Payment deadline guideline: For applications submitted up to two months before the enrollment date, payment must be made within 30 days of application. For applications submitted less than two months before the enrollment date, payment must be made within one week of application.
    If a letter of invitation is issued, payment must be made at least 30 days before the enrollment date.
    However, the payment deadline for accommodation fees is 30 days before the move-in date. If payment cannot be confirmed by the deadline, the application will be treated as cancelled and cancellation fees will be charged.
  • If the school cannot confirm receipt of payment by the deadline and no prior notice has been given, the school may regard this as a withdrawal from enrollment and cancel the application.
  • If you are unable to make payment by the specified deadline, please contact the school in advance.

General Information on Money Transfers

Please review the following notes before making a transfer.

  1. Please prepare the invoice sent to you by the school before making your transfer.
  2. Please verify the banking information shown on the invoice (bank name, branch name, account number, account holder name, etc.) before proceeding with payment. If there are any errors in the banking information, the school may be unable to confirm receipt of payment.
  3. In the payer or contact information field, please enter the reference number shown on the invoice and the Romanized name exactly as it appears on your passport.
  4. The information above is essential for identifying your payment. If the payment is sent under someone else's name (such as a financial sponsor or family member), the school may be unable to identify the sender, which could delay enrollment procedures.
  5. After completing the transfer, please send the remittance receipt by email to the School representative. This receipt serves as proof of payment, so please keep it safe and do not lose it.
  6. For questions about the transfer process itself, please contact your financial institution. The school cannot be held responsible for any losses or issues that occur during the transfer process.

Cancellation, Refund, and Deferral Policy

Introduction (Basic Information and General Rules)

Purpose of This Policy

This policy establishes the rules governing cancellations, refunds, and deferrals related to educational services and ancillary services provided by the school (including accommodation and airport pick-up services), both before and after enrollment.

Definitions

The terms used in this policy are defined as follows:

  • Pre-enrollment cancellation: Withdrawal of an application before enrollment.
  • Post-enrollment cancellation (withdrawal): Termination of studies after enrollment.
Deferral Deferral: Postponement of the start of studies to a later academic term before enrollment.
School Fees Total amount of tuition fees, materials, and facility and management fees.

Application Procedures and Date of Receipt

Eligibility for refunds and the amount refundable will be determined based on the date the school receives the refund request.

  • Application Method: Applications are accepted in writing, by email, or via Campusmate-J. Applications made verbally (by phone or in person) will not be accepted.
  • Reference date: For cancellations, the cancellation request date will be used. For deferrals, the deferral request date will be used when calculating applicable deadlines.
  • Calculation of days: Unless otherwise specified as "business days (school business days)," all calculations will be based on calendar days (the number of days according to the calendar).
  • Time Standard: All processes will be handled based on Japan Standard Time (JST).

Fees

The following fees apply to refund and deferral procedures.

1. Refund / Deferral Processing Fees

  • 6,000 yen per cancellation or deferral request
  • 3,000 yen for cancellations or changes involving airport pick-up services only

2. Bank Transfer Fees

  • All bank transfer fees associated with refunds are the responsibility of the recipient (student). Applicable bank transfer fees will be deducted from the refund amount before payment is made.

3. Refunds for Overpayments

  • If an overpayment (such as a duplicate payment) is refunded at the applicant's request, an administrative fee of 1,000 yen will be deducted from the refund amount.
  • No refund will be issued if the overpaid amount is less than 1,000 yen.
  • *A dash ("—") in the tables indicates that the item is not eligible for a refund or deferral.
  • *Amounts containing less than one yen will be rounded down to the nearest yen.

Outstanding Balances

If there are any unpaid fees at the time a cancellation request is submitted, the outstanding balance must be paid regardless of whether a refund is due.

If a refund is applicable, the school will refund the amount remaining after deducting any outstanding balance and the applicable refund processing fees. If the amount already paid is insufficient to cover the required refund processing fees, the applicant must pay the difference.

  • Applicable fees include: admission fees, tuition, materials, facility and management fees, accommodation fees, and airport pick-up fees.

1. Short-Term General Japanese, Short-Term Career Japanese, Evening Course

1.1 Pre-Enrollment Cancellation

If the enrolled study period is 4 weeks or longer, or if an applicant whose enrolled study period is less than 4 weeks cancels 14 days or more before the course start date, refunds will be handled according to the criteria below.

  • *Important: If an applicant whose enrolled study period is less than 4 weeks cancels less than 14 days before the enrollment date, no refund will be provided.
  • *The above conditions may be revised in accordance with policies established by the Immigration Services Bureau of Japan.
  • *If the tuition fees or other school fees have been discounted through a campaign or similar offer, refund and deferral procedures will be carried out after deducting the amount equivalent to the discount from the amount actually paid after discount.
  • *If a student does not enroll after the enrollment date has passed, the provisions of Section 1.3 Post-Enrollment Cancellation (Withdrawal) shall apply.
  • *If cancellation is due to a delay in visa issuance, the refund amount will be calculated based on the cancellation request date.

1.2 Pre-Enrollment Changes: Enrollment Deferral

  • As a general rule, enrollment deferral before enrollment is permitted only once. The start date after deferral shall be the following academic term after the originally scheduled enrollment term.
  • If a deferral is requested, the enrollment fee, entrance examination fee, and discount benefits cannot be carried over. The remaining amount after deducting the deferral processing fee will be applied to the course fees after deferral.
  • Nagano Campus has two terms: the April term and the October term. As a general rule, students scheduled to enroll in April will be deferred to October of the same year, and students scheduled to enroll in October will be deferred to April of the following year. However, deferral to a term three months after the original enrollment term may be permitted in exceptional cases at the discretion of the Principal.
  • If there is a difference in fees after deferral, the difference must be paid after deferral.
  • If cancellation is requested after a deferral, the refund amount and cancellation fees will be calculated based on the academic term after deferral. The cancellation date will not be the actual date on which the cancellation request was submitted; instead, it will be calculated based on how many days before the start date of the original academic term the deferral request was made, and then applied to the academic term after deferral. (Example: If a student defers from the April term to the July term 7 days before the April term starts, and later cancels after the deferral, the cancellation will be treated as having been made 7 days before the start of the July term.)

Shortening the Study Period After Enrollment Deferral

  • If the study period is shortened after deferral, the school fees corresponding to the shortened period will be refunded according to the criteria set out in "1.1 Pre-Enrollment Cancellation".
  • If a deferral and refund occur at the same time, the refund/deferral processing fee will be charged only once.

1.3 Post-Enrollment Cancellation / Mid-Course Withdrawal

If a student wishes to withdraw after enrollment, meaning on or after the course start date, refunds will be made in accordance with the following rules.
Refunds apply only to school fees: tuition fees, material fees, and facility management fees. The enrollment fee will not be refunded under any circumstances.

  • If a student withdraws after enrollment, school fees corresponding to the unused study period will be eligible for refund only if one academic term or more remains in the unused study period. School fees for the academic term in which the withdrawal occurs will not be refunded.
  • To receive a refund, all of the following conditions must be met:
    ① The student has paid school fees for two or more academic terms in a lump sum before enrollment.
    ② The student completes the required withdrawal procedures at least five business days before the final day of the academic term preceding the scheduled withdrawal term.
    ③ All school fees for the unused academic term(s) have already been paid.
  • If the unused study period eligible for refund is less than one academic term, no refund will be provided.

1.4 Post-Enrollment Cancellation (On or After the Enrollment Date): Before Entry into Japan

These rules apply when a student cancels an extension after applying to extend their original study period.

Cancellation Before the Extension Period Begins

  • If a cancellation request is submitted before the extended study period begins, part of the school fees already paid for the extension period will be refunded. However, the prescribed refund processing fee (6,000 yen) and any bank transfer fees incurred in the refund process shall be the responsibility of the recipient/student.

Cancellation After the Extension Period Begins

  • Once the extended study period has begun, extension fees will not be refunded for any reason. However, if the unused study period spans across academic terms and at least 10 weeks remain within the same academic term, the unused portion may be eligible for refund.

2. Private Japanese Lessons

2.1 Cancellation Before Lesson Start

If a student cancels before starting lessons after payment of the lesson fees, the remaining balance will be refunded after deducting the cancellation fee below and the refund processing fee from the total amount paid, including the instructor arrangement fee.

In the Event of Visa Denial

  • Refunds of accommodation fees due to visa denial will be handled in accordance with the provisions of 5. In the Case of Temporary Visitor Visa Denial.

  • Accommodation arrangements cannot be deferred. If the enrollment period is changed, the accommodation arrangement must first be cancelled and then applied for again. In this case, refund processing fees and the prescribed fees will apply in accordance with 3.1 Cancellation Before Move-in.

3.3 Cancellation or Change After Move-in

  • No refunds will be issued for cancellations after move-in, regardless of the reason.
  • The same policy applies to accommodation periods that have been extended after move-in.

4. Airport Transfer Fees

4.2 Change of Pickup Date/Time

  • Airport transfer fees cannot be deferred when the enrollment date is changed. If the scheduled arrival date is changed, the existing airport pickup arrangement must be cancelled and a new application must be submitted. In this case, the cancellation fee stated above will apply.
  • If the pickup time changes on the day of arrival due to the student’s own circumstances, such as missing the arranged pickup, it will be treated as a new application.
  • If the airport pick-up time must be changed on the day of arrival due to a flight delay, schedule change, missed flight, or similar circumstances, the transfer arrangement will be treated as a new application.
  • The same applies in cases of natural disasters, infectious disease outbreaks, strikes, airline operational issues, or other circumstances beyond the applicant's control. We recommend obtaining overseas student insurance.

5. In the Case of Temporary Visitor Visa Denial

If a Temporary Visitor Visa is denied, refunds will be made as follows, provided that documentary proof of the denial, such as a visa denial notice, is submitted.

  • School Fees (Tuition, Material Fees, and Facility Management Fees): Full refund
  • Accommodation arrangement fee / move-in fee: Full refund
  • Rent, facility fee, and cleaning fee: No refund

A prescribed refund processing fee of 6,000 yen will be deducted at the time of refund. The enrollment fee and letter of invitation issuance fee will not be refunded.
Visa denial must be confirmed before refund procedures can be processed.

6. General Information (Other Supplementary Information)

Delay in Issuance of a Temporary Visitor Visa

  • If your Temporary Visitor Visa is not issued by 7 days before the scheduled enrollment date, please be sure to contact the School. If you enter Japan late, or if the visa is denied without contacting the School by the deadline, the refund rules in 5. In the Case of Temporary Visitor Visa Denial will not apply. In such cases, the standard cancellation rules will apply.
  • Please consult the School if your Temporary Visitor Visa is denied due to your entry deadline.

Cancellation of Multiple Services

  • If a course (school fees) and student dormitory accommodation are cancelled at the same time, a separate refund processing fee of 6,000 yen will be charged for each.
  • If student dormitory accommodation and airport pick-up service are cancelled at the same time, the airport transfer refund processing fee (3,000 yen) will be waived, and only the student dormitory refund processing fee (6,000 yen) will be charged.

Timing of Refunds

  • Refunds will be processed within 40 days after completion of the cancellation procedures.

School Calendar / Term Schedule

  • The enrollment date shall be the enrollment date set by the School for each academic term. For mid-term enrollment students, the first day of attendance shall be treated as the enrollment date. *Please refer to the school calendar.
  • As the school is closed during the year-end and New Year holiday period, requests for cancellations or changes relating to the January term must be submitted by December 20.

8. Agreements and Disclaimers Regarding Enrollment at ISI Japanese Language School

The school has established the following disclaimers and conditions. By submitting an application, applicants are deemed to have reviewed, understood, and agree to the contents below.

Article 1. Scope of Application

These terms and conditions apply to international students (hereinafter referred to as "students") who wish to enroll in ISI Japanese Language School Group (hereinafter referred to as "the School") when applying, enrolling, or being enrolled in the school.

Article 2. Application and Admission Approval

Students must submit all required application documents to the School by the designated deadline. The School will determine admission eligibility based on the submitted documents, interviews and/or examinations, payment of tuition and fees, and other relevant factors. Admission is confirmed only upon official notification from the School.

Article 3. Tuition and Fee Payments

Students are required to pay the tuition and other fees set by the school by the specified deadline. Please note that the entrance fee is non-refundable for any reason. The possibility and conditions for refunds of other payments will be governed by the separately stipulated "Refund Policy."

Article 4. Visa and Residence Status

Students are always responsible for maintaining a valid residence status in accordance with Japanese law.

Article 5. Attendance and Academic Performance Management

Students must attend and study according to the class schedule and curriculum set by this school.

Article 6 Responsibilities of Emergency Contact Persons

Our school may contact relevant parties, such as emergency contacts, regarding important matters during your enrollment. In particular, we may deem it necessary to contact relevant parties in the following situations:

  • Withdrawal from the School, poor attendance, health or mental health concerns, or important matters relating to the student's academic or career plans
  • Problems, emergencies, or unforeseen circumstances (including illness, accidents, and natural disasters)

The emergency contact person will be contacted by the school and will provide necessary cooperation if the student cannot be contacted promptly or if it is determined that emergency measures are necessary.

Article 7. Health Declaration and Health Management

Students must accurately disclose their health condition at the time of application or before enrollment and submit any required health declaration forms to the School. The declaration shall include, but is not limited to, the following information:

  • Medical history, chronic illnesses, and mental health conditions
  • Presence or absence of infectious diseases (e.g., tuberculosis, etc.)
  • Allergies, use of prescription medications, and any special support requirements

If a student provides false information or if the School determines that the declared health condition would significantly interfere with continued study, admission approval may be revoked.

If a significant change occurs in a student's health condition during the period of study, the student must promptly report it to the School and, if requested, submit medical documentation from a healthcare provider.

If a student is diagnosed with, or is suspected of having, an infectious disease, the student must follow the instructions of medical professionals and may be required to comply with measures such as suspension from classes or isolation.

The School may provide health consultations or health guidance as necessary to help protect the health and safety of students; however, the School is not a medical institution and does not provide medical diagnosis or treatment. Students who require ongoing medication, medical treatment, or regular medical consultations due to pre-existing conditions or chronic illnesses are responsible for managing their own healthcare and following the instructions of their healthcare providers. If a student's failure to properly manage their health results in a deterioration of their condition and requires exceptional support from the School (for example, emergency assistance or continuous support relating to hospitalization), the School may charge the student or the student's parent, guardian, or financial sponsor for the costs incurred, including transportation, accommodation, and personnel expenses.

Article 8. Insurance Coverage

Students are required to take out National Health Insurance if they reside in Japan, or overseas travel insurance if they are coming to Japan from overseas, in order to prepare for accidents, illnesses, etc., that may occur within Japan. This is to provide coverage in the event of illness, injury, or liability for damages to a third party.

If a student fails to obtain coverage under required insurance programs, all medical expenses, liability claims, and related costs shall be the sole responsibility of the student, and the School shall bear no responsibility for such costs.

Article 9. Extracurricular Activities

Transportation costs, participation fees, and other expenses associated with extracurricular activities organized or introduced by the School (including excursions, field trips, and cultural experience activities) are not included in tuition fees and may need to be paid by the student, depending on the nature of the activity. Details regarding the content, location, and costs of such activities will be provided to students in advance. Students are responsible for any expenses incurred through participation unless otherwise specified by the School.

Furthermore, the school assumes no responsibility whatsoever for unforeseen circumstances or incidents resulting from individual health management.

Article 10 Code of Conduct

Students must comply with the laws and regulations of Japan as well as the School's rules and policies. If any of the following conduct is confirmed, the student may be subject to disciplinary measures,including warning, suspension, or expulsion. In serious cases, the student may also be held civilly or criminally liable.

  • Nuisance behavior, harassment, or acts of violence
  • Taking photographs or videos that infringe upon the portrait rights of other students or staff members, or the copyright of School-related materials, and posting or distributing such content on social media or other platforms without the consent of the individuals concerned
  • Spreading false or misleading information about the School that may damage its reputation or interfere with its operations
  • Conduct that violates the provisions of Article 11
  • Any other conduct that disrupts the School's order and discipline or causes harm to the School

Article 11. Campus Etiquette and School Rules

Students must comply with the following rules in order to maintain campus order and a safe, comfortable learning environment.

  • Commuting to school by car or motorcycle is prohibited.
  • Taking photographs or videos that disregard the portrait rights of other students or staff members or the copyright of School-related materials, and posting such content on social media or other platforms, is prohibited.
  • Disorderly conduct, unauthorized photography or filming, the sale of goods, and solicitation for religious, commercial, or other purposes are prohibited both inside and outside classrooms.
  • Possession of dangerous items is prohibited.
  • Smoking is prohibited throughout the School premises. Where designated smoking areas are provided outside the campus, students must smoke only in those designated areas.
  • School facilities and equipment must be used appropriately and responsibly.
  • Serious violations of School rules, including damage to facilities or theft, may result in charges for repair or replacement costs, suspension, or expulsion.
  • Students are expected to actively participate in evacuation drills, health examinations, and guidance related to health, hygiene, and safety.

Article 12. Responsibility for Personal Belongings

Students are responsible for the safekeeping of their personal belongings brought onto School premises, including laptop computers, mobile phones, valuables, and other personal items. The School accepts no responsibility for loss, theft, or damage to such belongings.

Article 13. Disclaimer Regarding Designated School Recommendations

The School may provide students with information regarding designated school recommendation opportunities offered by partner universities, vocational schools, and other educational institutions.

However, such information does not guarantee admission or progression to the institution concerned. Admission decisions are made solely by the receiving institution based on factors such as the student's academic performance, attendance record, conduct, interview results, and submitted documents.

The availability of recommendation opportunities, recommendation requirements, and admission quotas may change from year to year and may be modified or discontinued without prior notice. The School shall not be liable for any disadvantage or loss resulting from such changes. Students are responsible for understanding the details of designated school recommendation systems and for making their own decisions and preparations regarding further education.

Article 14. Disclaimer Regarding Career Support

The School provides career support not only to students seeking further education, but also to students seeking employment. Such support may include assistance with preparing resumes and CVs, interview coaching, guidance on Japanese language expression, and the provision of information about prospective employers. However, these services are provided solely as supplementary support and do not guarantee employment, job offers, or placement with any particular company or industry.

Employment decisions are made solely by employers based on factors such as the student's abilities, suitability, language proficiency, work authorization status, and the employer's hiring policies. The School shall bear no responsibility for the outcome of any job application or employment process.

Students seeking employment in Japan are responsible for understanding the immigration and residency requirements necessary for employment in Japan (such as Designated Activities, Engineer/Specialist in Humanities/International Services, and other applicable statuses of residence) and for completing any required procedures at their own responsibility. If students have questions regarding residence status procedures, the School may introduce an administrative scrivener (immigration specialist) and provide guidance or support as appropriate.

Article 15. Disclaimer

The School shall not be liable if, due to natural disasters, earthquakes, outbreaks or spread of infectious diseases, civil unrest, war, instructions or directives issued by national or local government authorities, or any other force majeure event, face-to-face classes are changed to online classes, or if the School is temporarily or continuously unable to provide educational services. The School shall also not be liable for delays, interruptions, or discontinuation of studies resulting from circumstances attributable to the student.

Any refunds of fees already paid shall be handled in accordance with the separately established Refund Policy.

Article 16 Bring Your Own Device

For study at the School, students are required to bring and use an internet-enabled device, such as a personal computer, smartphone, or tablet.

To ensure smooth participation in learning activities, students must prepare a device that meets the following recommended system requirements:

  • Available storage (HDD or SSD): Minimum 2GB (10GB or more for PCs)
  • Operating System (OS): One of the following operating systems is recommended.

These requirements represent the standard technical specifications necessary for the School's classes and learning support environment. Students are responsible for obtaining and preparing suitable devices at their own expense prior to enrollment.

Article 17. Privacy Policy / Handling of Personal Information

The School uses personal information obtained from students (including names, dates of birth, addresses, contact information, passport information, and health-related information) for the following purposes:

  • Enrollment procedures, residence status procedures, and preparation of visa-related documentation
  • Arranging services provided by transportation providers, accommodation providers, and other service providers, as well as procedures necessary for receiving such services
  • Class administration, attendance management, grade management, and emergency contact purposes
  • Providing information to support further education and employment.
  • Except where required by law or with the student's consent, the School will not disclose or provide personal information to third parties.
  • The School will appropriately manage personal information and implement necessary measures to prevent unauthorized access, leakage, loss, alteration, or other misuse.
  • Students may request disclosure, correction, or deletion of their personal information by contacting the School.
