The tuition fees listed in this document apply to students enrolled between April 2027 and March 2029, while the student dormitory fees apply to students residing between April 2027 and March 2028. All amounts shown are the final amount payable per student (JPY). The tax treatment is as follows:

(2) Education Goals

ISI Japanese Language School aims to develop global talent who can succeed internationally in a modern society characterized by globalization, advancing information technology, and the coexistence of diverse cultures and values. To achieve this, we have established the following educational goals:

  • To develop practical Japanese language proficiency and advanced communication skills.
  • To foster international awareness and intercultural competence through respect for and understanding of diverse values.

(3) Diploma Policy (Policy on Accreditation of Graduation and Completion)

Graduation (completion) will be granted to those who have acquired the following abilities through the prescribed study and have reached the specified certification standards.

  • Practical and a high level of Japanese communication skills that lead to success in society.
  • The ability to see things from a global perspective, to accept diverse viewpoints, and to respond flexibly.

(4) Curriculum Policy

Educational Content

  • Students systematically develop their Japanese language abilities in reading, listening, writing, presentations, conversation, vocabulary, grammar, and pronunciation, with the aim of functioning effectively in higher education institutions and business environments.
  • Through a variety of learning activities, students develop independent learning skills and learn how to deepen their knowledge through collaboration with others.
  • Students develop the knowledge and skills required to pass examinations and earn qualifications through targeted guidance and preparation for tests such as the JLPT and EJU, tailored to each learner’s educational and career objectives.
  • Students learn to work collaboratively on challenges in order to develop international awareness and interpersonal skills.
  • Students develop career design skills that enable them to pursue their career goals independently, strategically, and proactively as they prepare for their future careers.

Teaching Method

  • Classes make use of ICT (Information and Communication Technology) to improve learning outcomes efficiently.
  • To develop teamwork, presentation, and communication skills, classes incorporate group work and active learning methods.
  • To help students become independent learners, classes incorporate resources both inside and outside the classroom, including the school's Learning Management System (LMS).
  • School-linked off-campus learning activities are conducted to deepen understanding of different cultures and strengthen connections with the local community.
  • Career guidance activities are tailored to each student's aspirations, with clear schedules and support provided through consultations with homeroom teachers and career advisors.
  • Classes are conducted using the "Direct Method", in which only Japanese is used. This approach is effective not only for learning Japanese but also for understanding Japanese culture, while naturally improving listening and speaking skills. Students are expected to actively engage in learning and seek support from instructors when they encounter difficulties.

(5) Admission Policy

ISI Japanese Language School welcomes students who understand its educational goals and are eager to embrace challenges in pursuit of becoming global talents who can thrive in an international environment.

(6) Academic Operations Policy

  • Classes are conducted using the Direct Method, with a focus on improving communication skills in Japanese. (No foreign-language assistance is provided during lessons.)
  • Some classes incorporate active learning, ICT-based education, and school-linked off-campus learning activities to enhance learning outcomes. In some cases, students may be required to cover transportation or other actual expenses.
  • The school provides a multinational environment that promotes intercultural understanding. Students are asked to refrain from using their native language during class.
  • Students have opportunities to receive career guidance throughout the year.
  • In accordance with the requirements of the Immigration Services Bureau of Japan and as a graduation requirement of the school, students must take external examinations (such as the JLPT and JPT) to assess their Japanese language proficiency. Examination fees and transportation costs to testing venues are not included in tuition fees and must be paid separately by the student.
  • Japanese language instructors are either nationally certified Japanese language teachers recognized by the Ministry of Education, Culture, Sports, Science and Technology (MEXT), or possess qualifications that meet the standards established by the Immigration Services Bureau of Japan.
  • Throughout their studies, students are required to have a device capable of connecting to the internet, such as a computer, smartphone, or tablet. At the Shibuya-Harajuku Career Campus and Takadanobaba Career Campus, learning is conducted primarily using computers, so students must prepare a computer. At the Shinjuku Main Campus, Shinjuku Prime Campus, Ikebukuro Campus, Takadanobaba Advancement Campus, Osaka Campus, Kyoto Campus, and Nagano Campus, computers, smartphones, and tablets are also used for certain learning activities, so students should bring a device they regularly use.
  • To facilitate smooth school operations, Microsoft 365 (MS365) is used as a communication platform between the school and students. Students are provided with an MS365 account, and the email address issued by the school remains valid indefinitely. To ensure access to support after enrollment, students should complete their initial login and account registration before arriving in Japan. The account may be used free of charge while enrolled and will be deleted after graduation or withdrawal.
  • ISI Japanese Language School uses an LMS (Learning Management System), the learning application Monoxer, and an attendance management application. The supported operating environment for these tools is as follows.

    • iOS 18 or later
    • Android 15 or later
    • Memory (RAM): Minimum 8GB, 16GB or more recommended.

    These specifications represent the standard technical requirements for the school's classes and learning support environment. Students are responsible for preparing the necessary equipment at their own expense before enrollment. Please note that the following devices are not guaranteed to work with the "Monoxer" learning application.

    • Kindle Fire tablet
    • Devices with proprietary OS (e.g., HUAWEI MatePad, etc.)

    If your current device cannot be updated to a supported version, you will be required to obtain a compatible device.

2. Application Process: Enrollment with a student visa (Long-Term Program)

About Student Visas

  • As a general rule, students who intend to study at a Japanese language school in Japan for six months or longer are required to obtain a student visa.
  • To obtain a student visa, you must first obtain a "Certificate of Eligibility" from the Immigration Services Bureau of Japan.
  • The school will apply for the Certificate of Eligibility on behalf of students.

Important Information Regarding Student Visas

  • Students holding a "Student" residence status are expected to prioritize their studies, engage seriously in their coursework, and maintain good attendance.
  • Unauthorized absences, prolonged absences, or behavior indicating a lack of commitment to continuing one's studies may negatively affect residence status renewal.
  • Students who wish to work part-time must first obtain "Permission to Engage in Activities Other Than Those Permitted by Your Status of Residence" from the Immigration Services Bureau of Japan.
  • Even if permission is granted, part-time work is limited to 28 hours per week (or up to 8 hours per day during long school vacations). In addition, there are restrictions on the types of work that may be undertaken.
  • Unauthorized employment or working beyond the permitted hours may result in severe penalties, including revocation of residence status or deportation.
  • Any changes to a student's residence status, such as a change of address, withdrawal from school, or leave of absence, must be promptly reported to both the school and the Immigration Services Bureau.

Admission Requirements

  • Applicants must have completed at least 12 years of formal education or an equivalent course of study at the time of enrollment.

    *However, applicants who are at least 18 years of age and hold a high school diploma or equivalent qualification may be eligible for admission even if they have completed fewer than 12 years of formal education.

  • Applicants to the Shibuya-Harajuku Career Campus and Takadanobaba Career Campus must additionally:
    1. Intend to seek employment either in Japan or in their home country after graduation.
    2. Have graduated from a graduate school, university, or junior college.
      *This requirement does not apply to students who plan to work under the Specified Skilled Worker Visa.
  • Be under 55 years of age as of April 1, 2027.
  • Demonstrate a strong motivation to study.
  • Applicants must have sufficient financial resources to cover their expenses during their period of study.
  • Applicants must fully understand the School’s philosophy, educational objectives, learning outcomes, and policies.
  • Have approximately 150 hours of Japanese language study experience, or possess Japanese proficiency equivalent to JLPT N5 (CEFR A1).
  • For January enrollment, applicants must possess Japanese language ability at approximately JLPT N5 (CEFR A1) level and be capable of progressing to JLPT N4 (CEFR A2) level. (This requirement does not apply to the Shibuya-Harajuku Career Campus and Takadanobaba Career Campus.)

*The principal may grant admission to applicants who do not meet all of the above requirements in exceptional circumstances.

*Applicants who do not currently satisfy these conditions should contact the Admissions Consultation Center for advice.

Application Process

STEP 1.

Submit application documents / Document screening, interview, and payment of the application fee

Please pay the application fee via bank transfer, Flywire, or WeChat Pay. To begin the enrollment process, applicants must first submit the required application documents and pay the application fee.

STEP 2.

Receive admission results / Application for the Certificate of Eligibility (COE) to the Immigration Services Bureau

If the school determines that you meet the admission requirements following its screening process, a Conditional Offer of Place will be issued. The school will then submit the application for the Certificate of Eligibility (COE) on your behalf to the Immigration Services Bureau of Japan. After receiving the Conditional Offer of Place, you will also gain access to the school's student portal, Campusmate-J*.

STEP 3.

Issuance of the Certificate of Eligibility (COE) by the Immigration Services Bureau (The school receives the certificate on behalf of the student.)

After the COE is issued, the school will provide an invoice for tuition and other fees through Campusmate-J.

STEP 4.

Payment of tuition and other enrollment fees

STEP 5.

Take the placement test.

Class placement will be determined based on the results of the placement test announced via Campusmate-J, so all students are required to take the test.

STEP 6.

The school sends the Certificate of Eligibility (COE) and Letter of Admission

After confirming receipt of tuition and other fees, the school will send the following documents to the student: Certificate of Eligibility (COE) Letter of Admission Application form for Permission to Engage in Activity Other Than That Permitted Under the Status of Residence Previously Granted (part-time work permit) Information regarding enrollment procedures and important matters related to entering Japan will also be provided through Campusmate-J.

STEP 7.

Apply for a visa at a Japanese embassy or consulate overseas

STEP 8.

Visa issuance and flight booking

After booking your flight, please register your itinerary through the notification form provided via Campusmate-J, including a copy of your e-ticket showing your flight number and arrival time.

STEP 9.

Enrollment / Start of Studies

Please come to school on the designated enrollment date. (If the school has arranged your accommodation, please enter Japan in time to move into your residence on the designated move-in date.)

* Campusmate-J is a student portal provided by ISI Japanese Language School to support student life. Through a computer or smartphone connected to the internet, students can access their academic records, manage schedules, and view class timetables. School announcements, important notices, and document distribution are also conducted through this portal.

Tokyo

Accommodation Types and Prices

  • The school will arrange accommodation with partner providers located within a reasonable commuting distance from the campus. Students enrolled in long-term program should apply according to the procedures provided through Campusmate-J.
  • Available check-in times vary depending on the accommodation. Please refer to the page "Information on Accommodation and Airport Pick-up Arrangements" for details.
  • Details of the assigned accommodation will be provided after arrangements have been confirmed. Please contact the school regarding move-in dates, move-out dates, and other details.
  • For student dormitories, if the number of applicants exceeds capacity, accommodation will be assigned by lottery. Applicants will be notified of the results as soon as possible.

Student Dormitory

  • Resident managers are either stationed on-site or visit regularly, providing peace of mind.
  • Students live together with students from around the world.
  • Prices are more reasonable compared with other accommodation types.
  • Commute time: approximately 20 minutes on foot to 60 minutes by by walking and train.
  • Meals are not included. Furniture, home appliances, and bedding are provided.

Long-Term Stay Rates (Per Term)

  • Long-term stays are contracted on a per-term basis, and rent is not calculated on a daily basis. Extensions are possible only if vacancies are available.
  • Type S rooms have a private toilet and shower. Other room types have shared facilities.

Information on Airport Pick-up Services and Fees for Students with School-Arranged Accommodation (Narita Airport / Haneda Airport)

  • Airport pick-up arrangements will be made after payment has been confirmed. Students staying in a student residence should provide their flight information (arrival date/time and flight number) at least two weeks before arrival.
    (Please submit a copy of your e-ticket.) A transfer representative will meet you at the airport arrival gate.
  • For information regarding available pick-up hours, please refer to the page "Information on Accommodation and Airport Pick-up Arrangements."

Osaka

Accommodation Types and Prices

  • The school will arrange accommodation with partner providers located within a reasonable commuting distance from the campus. Students enrolled in long-term program should apply according to the procedures provided through Campusmate-J.
  • Available check-in times vary depending on the accommodation. Please refer to the page "Information on Accommodation and Airport Pick-up Arrangements" for details.
  • Details of the assigned accommodation will be provided after the arrangement has been confirmed.

Student Dormitory

  • Conveniently located with good access to the school.
  • Commute time: approximately 25 minutes by bicycle or 30 minutes by a combination of walking and train.
  • Meals are self-catered. Furnished with furniture, appliances, and bedding. Shared kitchen, bath, and toilet facilities..
  • Equipped with an elevator, auto-lock entrance, security cameras, parcel lockers, and a garbage disposal area.

Long-Term Stay Rates  (minimum stay of two terms)

  • Long-term student dormitory accommodation is contracted on a two-term basis, and rent is not calculated on a daily basis. Additional charges, including cleaning fees, may be incurred upon move-out.
  • The minimum stay is two terms (6 months).
  • Utility costs (electricity, water, and gas) are not included in the accommodation fees. Upon move-in, students are required to pay a deposit equivalent to approximately six months of utility charges, which will be adjusted based on actual usage when they move out.

  • Kitchen, bathroom, and toilet facilities are shared. Meals are self-catered. Furniture, home appliances, and bedding are provided.

Long-Term Stay Rates (1 term or more)

Accommodation and Airport Pick-up Arrangement Process

STEP 1.

Student Dormitory
Please apply according to the application instructions provided on "Campusmate-J".

STEP 2.

Based on the room type selected in your application, the school will arrange either an ISI-managed residence or a partner accommodation located within a reasonable commuting distance from the campus.

STEP 3.

Accommodation arrangements will be made after confirming room availability.

  • *If the number of applicants exceeds capacity, accommodations will be assigned by lottery. Applicants will be notified of the results as soon as possible.
STEP 4.

After the Certificate of Eligibility (COE) has been issued, the school will issue an invoice together with the tuition invoice. Please make payment to the designated bank account specified on the invoice.

STEP 5.

After payment has been confirmed, the school will send information regarding your accommodation and airport pick-up arrangements (Accommodation Confirmation Letter) approximately two weeks before the start of classes.

  • *If payment is not received by the specified deadline, the accommodation reservation may be automatically cancelled. Cancellation fees will be handled in accordance with the school's Cancellation, Refund, and Remittance Regulations.
STEP 6.

After booking your flight, please submit your arrival date, arrival time, and flight information (e-ticket) to the school through Campusmate-J at least two weeks before your arrival date.

  • *This information must be submitted regardless of whether you have requested airport pick-up services. Whenever possible, please arrange to arrive on the designated move-in date.

Notes

  • Long-term stays in student dormitories are available on a 1-term basis in Tokyo and Kyoto, a 2-term basis in Osaka, and a 3-month basis in Nagano.
  • If student dormitories reach full capacity, applicants will be selected by lottery. If you are not selected, the school can provide an external housing referral service.
  • For questions regarding move-in and move-out dates for each term, please contact the Admissions Consultation Center.
  • If you plan to move in on a weekend, public holiday, or outside the designated check-in hours, arrangements may not be possible. Please be sure to consult the school in advance.
  • If you plan to send luggage before arriving in Japan, please specify a delivery date on or after your arrival date so that you can receive it yourself.
  • If you wish to extend your stay in a student dormitory, please apply directly to the accommodation provider after moving in. Extensions are possible only if vacancies are available.
  • If accommodation cannot be arranged or extended in an ISI-managed residence, the school may provide an external housing referral service. No refunds will be available after move-in.
  • Please note that those who have applied for the airport pick-up service may be required to wait at the airport for some time
  • Except for Osaka student residences, utility costs (electricity, water, and gas) are included in the accommodation fee; however, usage limits may apply depending on the accommodation.

Payment Methods

Tuition and other fees can be paid via bank transfer, Flywire, or WeChat Pay. (The application fee must be paid at the time of application.)

Payments via Flywire:

  • Flywire is an international payment service designed for educational institutions, allowing payments by bank transfer from your home country or by credit card.
  • Students enrolling at ISI Japanese Language School should access the Flywire payment page designated for their campus and create an account before making a payment. The website is available in multiple languages, including English, Simplified Chinese, Thai, Korean, Spanish, French, Japanese, and Portuguese.
  • Please refer to your invoice for payment instructions.

Payments via WeChat Pay:

  • Payments can be made using the cross-border tuition payment platform provided through the official WeChat Mini Program "Japan National Consulate". This program is officially recommended by WeChat Pay.
  • Please access the dedicated webpage for your campus at ISI Japanese Language School and enter the information and payment amount according to the details provided on your invoice. The page is available in Simplified Chinese.
  • Please refer to your invoice for payment instructions.

Transaction Fees

  • For bank transfers, separate bank transfer fees will apply.
  • All fees associated with remittance or payment processing are the responsibility of the applicant.

Payment Deadlines

  • For all payments, please refer to the invoice distributed through Campusmate-J or provided by your school representative, and make payment by the deadline indicated on the invoice.
  • As a general guideline, for students applying for a student visa, payment should be made within approximately 10 days of the issuance of the Certificate of Eligibility (COE).
    However, accommodation fees must be paid at least 30 days before the move-in date. If payment cannot be confirmed by the deadline, the accommodation application may be cancelled and cancellation fees may apply.
  • If the school cannot confirm receipt of payment by the deadline and no prior notice has been given, the school may regard this as a withdrawal from enrollment and cancel the application.
  • If you are unable to make payment by the specified deadline, please contact the school in advance.

Remittance Information

Please review the following information before making a payment.

  1. Before making a remittance, please prepare the invoice issued by the school.
  2. Please verify the banking information shown on the invoice (bank name, branch name, account number, account holder name, etc.) before proceeding with payment. If there are any errors in the banking information, the school may be unable to confirm receipt of payment.
  3. In the payer or contact information field, please enter the reference number shown on the invoice and the Romanized name exactly as it appears on your passport.
  4. The information above is essential for identifying your payment. If the payment is sent under someone else's name (such as a financial sponsor or family member), the school may be unable to identify the sender, which could delay enrollment procedures.
  5. After completing the remittance, please submit a copy of the payment receipt through Campusmate-J or send it by email to your assigned representative. The receipt serves as proof of payment, so please keep it in a safe place. (Only long-term students can submit payment receipts through Campusmate-J.)
  6. For questions regarding remittance procedures, please contact your financial institution. The school cannot accept responsibility for losses or problems arising during the remittance process.

8. Cancellation, Refund, and Deferral Policy

Introduction (Basic Information and General Rules)

Purpose of This Policy

This policy establishes the rules governing cancellations, refunds, and deferrals related to educational services and ancillary services provided by the school (including accommodation and airport pick-up services), both before and after enrollment.

Definitions

The terms used in this policy are defined as follows:

Application Procedures and Date of Receipt

Eligibility for refunds and the amount refundable will be determined based on the date the school receives the refund request.

  • Application Method: Applications are accepted in writing, by email, or via Campusmate-J. Applications made verbally (by phone or in person) will not be accepted.
  • Reference date: For cancellations, the cancellation request date will be used. For deferrals, the deferral request date will be used when calculating applicable deadlines.
  • Calculation of days: Unless otherwise specified as "business days (school business days)," all calculations will be based on calendar days (the number of days according to the calendar).
  • Time Standard: All processes will be handled based on Japan Standard Time (JST).

Fees

The following fees apply to refund and deferral procedures.

1. Refund / Deferral Processing Fees

  • 6,000 yen per cancellation or deferral request
  • 3,000 yen for cancellations or changes involving airport pick-up services only

2. Bank Transfer Fees

  • All bank transfer fees associated with refunds are the responsibility of the recipient (student). Applicable bank transfer fees will be deducted from the refund amount before payment is made.

3. Refunds for Overpayments

  • If an overpayment (such as a duplicate payment) is refunded at the applicant's request, an administrative fee of 1,000 yen will be deducted from the refund amount.
  • No refund will be issued if the overpaid amount is less than 1,000 yen.
  • *A dash ("—") in the tables indicates that the item is not eligible for a refund or deferral.
  • *Amounts containing less than one yen will be rounded down to the nearest yen.

Outstanding Balances

If there are any unpaid fees at the time a cancellation request is submitted, the outstanding balance must be paid regardless of whether a refund is due.

If a refund is applicable, the school will refund the amount remaining after deducting any outstanding balance and the applicable refund processing fees. If the amount already paid is insufficient to cover the required refund processing fees, the applicant must pay the difference.

  • Applicable fees include: admission fees, tuition, materials, facility and management fees, accommodation fees, and airport pick-up fees.

1. Tuition and Fees for Long-Term Program

1.1 Pre-Enrollment Cancellation

For long-term program, refund conditions for pre-enrollment cancellations vary depending on the status of the Certificate of Eligibility (COE) and the student visa at the time the cancellation request is submitted. Please refer to the applicable category in the table below. Regardless of the reason for cancellation, the application fee and admission fee are non refundable. If cancellation occurs on or after the enrollment date, the provisions of Section 1.3 Post-Enrollment Cancellation (Withdrawal) shall apply.

If the Certificate of Eligibility (COE) Is Denied

  • If an application is cancelled because the Certificate of Eligibility (COE) is not issued, refunds will be handled as follows. Refunds are available only if the relevant fees have already been paid.
    • School fees (tuition, materials, facility management fees): 100% refundable
    • Admission fee: Non refundable. Refund / Deferral Processing fee: 6,000 yen.
  • Requirements relating to the issuance of a Certificate of Eligibility may change in accordance with policies established by the Immigration Services Bureau of Japan.
  • If cancellation is requested due to a delay in the issuance of the Certificate of Eligibility, the refund amount will be calculated based on the date the cancellation request is submitted.

If a Student Visa Is Denied

  • Cancellations resulting from the denial of a student visa shall be handled in accordance with Section 4: In the Event of a Student Visa Denial.
  • If cancellation is requested due to a delay in the issuance of a student visa, the refund amount will be calculated based on the date the cancellation request is submitted.

1.2 Pre-Enrollment Changes: Enrollment Deferral

  • If you cancel your original enrollment and wish to enroll again in a different term, any remaining balance paid to the school will be applied toward the new enrollment based on the date the cancellation request is submitted.
  • Enrollment may be deferred only once. A second or subsequent deferral request will, in principle, be treated as a refund request. (Deferrals to a term more than one year after the originally applied enrollment term are not permitted.)
  • If a refund is requested following a deferral, the refund amount will be calculated based on the date of the original cancellation request that resulted in the deferral. Refund processing fees and deferral processing fees will be charged for both transactions.
  • If a student re-enrolls within one year of cancelling following payment of tuition and fees, the admission fee will be waived. If the new course has a different fee structure, the student must pay any difference. The application fee will be charged each time a Certificate of Eligibility (COE) application is submitted.
  • Applicable refund and deferral processing fees will be charged based on the date the cancellation request is submitted.

1.3 Post-Enrollment Cancellation / Mid-Course Withdrawal

Refunds of school fees (tuition, materials, and facility and management fees) in cases of withdrawal are handled as follows.

(1) Basic Refund Rules

  • The one-year period beginning on the enrollment date is divided into four academic terms.
  • Refunds are calculated in two-term (six-month) units. Refunds are not provided on a one-term basis.
  • In addition to any applicable cancellation fees, a refund processing fee of 6,000 yen will be charged.
  • Bank transfer fees and other costs associated with issuing a refund are generally the responsibility of the student.

(2) Effective Date for Refund Calculations

  • Refund amounts are calculated based on the date on which the school formally receives the Withdrawal Request (hereafter referred to as the Withdrawal Processing Date).

(3) Definition of the Withdrawal Processing Date

  • The Withdrawal Processing Date is the date on which the school officially receives the documents or application required for withdrawal. The applicable date depends on the submission method:
    • Written submission: The date the school receives the document.
    • Email submission: The date the email is received by the school.
    • Campusmate-J submission: The date recorded by the system.
  • * Verbal requests (by telephone or in person), or dates written by the student on the application form, are not considered the Withdrawal Processing Date.

(4) Method for Calculating Refund Amounts

  • The refund amount will be the remaining balance after deducting the school fees for any commenced terms and the applicable cancellation fees for any uncommenced terms from the school fees already paid.

Calculation Rules for Multiple Academic Terms

If multiple academic terms are eligible for a refund, the applicable cancellation fee for each uncommenced term will be determined separately based on the period between the withdrawal procedure date (the date the withdrawal request is accepted) and the start date of that term. All applicable cancellation fees will then be totaled and deducted from the school fees already paid, as described above.

Example: A student enrolled in the April intake at the Shinjuku Main Campus completes withdrawal procedures during April.

  • *If withdrawal procedures are completed during April, the withdrawal timing for each unstarted academic term will be determined as shown in the table below.
  • April Term (current term) after the term has already begun:  → ⑤ No refund
  • July Term → ③ Refunded after deducting a cancellation fee of 93,750 yen
  • October Term → ② Refunded after deducting a cancellation fee of 37,500 yen

■ If One Year's School Fees (Four Terms) Were Paid in Advance

Refund Amount = School fees already paid for four terms - (school fees for the April term + July-term cancellation fee (93,750 yen) + October-term cancellation fee (37,500 yen) + January-term cancellation fee (0 yen))

⇒ Accordingly, the January term is fully refunded, the October term is refunded after deduction of a 37,500 yen cancellation fee, and the July term is refunded after deduction of a 93,750 yen cancellation fee.

(5) Criteria for applying cancellation fees

  • The applicable cancellation fee is determined based on how far in advance the Withdrawal Processing Date falls relative to the start date of the refundable academic term, as shown in the table below.

(6) Other Required Documents

  • If withdrawing in order to transfer to another educational institution in Japan, students must submit the Letter of Admission from the new institution and, after enrollment, a copy of their Student ID Card.
  • If returning to their home country, students must complete withdrawal procedures by providing proof of departure from Japan before the required departure deadline and confirmation that their residence card has been invalidated.

  • The same policy applies to accommodation periods that have been extended after move-in.

In the Event of Visa Denial

  • Refunds of airport pick-up service fees due to a visa denial are subject to the provisions set out in Section 4: In the Event of a Student Visa Denial.

3.2 Changes to Pickup Date and Time

  • Airport pick-up service fees cannot be transferred when the enrollment start date is changed. If you wish to change your scheduled arrival date, you must first cancel the airport pick-up service and submit a new application. In such cases, the cancellation fees above will apply.
  • If the airport pick-up time must be changed on the day of arrival due to the student's own fault, such as missing the arranged pickup, the request will be treated as a new application.
  • If the airport pick-up time must be changed on the day of arrival due to a flight delay, schedule change, missed flight, or similar circumstances, the transfer arrangement will be treated as a new application.
  • The same applies in cases of natural disasters, infectious disease outbreaks, strikes, airline operational issues, or other circumstances beyond the applicant's control. We recommend obtaining overseas student insurance.

4. In the Event of a Student Visa Denial

If a student visa application is denied, refunds will be made upon submission of supporting documentation, such as the visa denial notice, as follows:

  • School Fees (Tuition, Material Fees, and Facility Management Fees): Full refund
  • Student Dormitory Fees:
    ・ If the cancellation request is submitted by the end of the month of the scheduled move-in date: 100% refund
    ・ If the cancellation request is submitted on or after the first day of the month following the scheduled move-in month: No refund
  • Airport pick-up fee: Full refund

Please note that the application fee and admission fee are non refundable.

5. General Provisions (Supplementary Information)

Cancellation of Multiple Services

  • If a course (school fees) and student dormitory accommodation are cancelled at the same time, a separate refund processing fee of 6,000 yen will be charged for each.
  • If student dormitory accommodation and airport pick-up service are cancelled at the same time, the airport transfer refund processing fee (3,000 yen) will be waived, and only the student dormitory refund processing fee (6,000 yen) will be charged.

Timing of Refunds

  • Refunds will be processed within 40 days after completion of the cancellation procedures.

School Calendar / Term Schedule

  • The enrollment date is the date designated by the school for each academic term. For students enrolling after the start of a term, the enrollment date will be the first day of attendance.

  • As the school is closed during the year-end and New Year holiday period, requests for cancellations or changes relating to the January term must be submitted by December 20.

9. Agreements and Disclaimers Regarding Enrollment at ISI Japanese Language School

The school has established the following disclaimers and conditions. By submitting an application, applicants are deemed to have reviewed, understood, and agree to the contents below.

Article 1. Scope of Application

These terms apply to international students (hereinafter referred to as the "Student") who apply for admission to, enroll in, and study at the ISI Japanese Language School Group (hereinafter referred to as the "School").

Article 2. Application and Admission Approval

Students must submit all required application documents to the School by the designated deadline. The School will determine admission eligibility based on the submitted documents, interviews and/or examinations, payment of tuition and fees, and other relevant factors. Admission is confirmed only upon official notification from the School.

Article 3. Tuition and Fee Payments

Students are required to pay tuition and other applicable fees established by the School by the designated deadlines. Please note that the application fee and admission fee are non refundable under any circumstances. The eligibility and conditions for refunds of other payments shall be governed by the School's separate Refund Policy.

Article 4. Visa and Residence Status

The School provides support for applications for a Certificate of Eligibility (COE); however, it does not guarantee the issuance of a COE or a student visa. Furthermore, the School does not guarantee approval of any extension or renewal of residence status required during the period of study. Students are responsible for maintaining a valid residence status in compliance with Japanese laws and regulations at all times.

Article 5. Attendance and Academic Performance Management

Students must attend classes and pursue their studies in accordance with the School's academic schedule and curriculum. Attendance records and academic performance may be reported to the Immigration Services Bureau of Japan, financial sponsors, or other relevant parties when necessary.

Article 6. Responsibilities of Financial Sponsors and Emergency Contacts

The School may contact a student's financial sponsor, emergency contact, or other relevant parties in relation to important matters during the student's period of study. In particular, contact may be deemed necessary in the following situations:

  • Withdrawal from the School, poor attendance, health or mental health concerns, or important matters relating to the student's academic or career plans
  • Problems, emergencies, or unforeseen circumstances (including illness, accidents, and natural disasters)

Financial sponsors are responsible for supporting the student's tuition and living expenses and are expected to respond appropriately to communications from the School. Emergency contacts are expected to cooperate with the School when the student cannot be reached promptly or when emergency measures are considered necessary.

Article 7. Health Declaration and Health Management

Students must accurately disclose their health condition at the time of application or before enrollment and submit any required health declaration forms to the School. The declaration shall include, but is not limited to, the following information:

  • Medical history, chronic illnesses, and mental health conditions
  • Presence of any infectious diseases (e.g., tuberculosis)
  • Allergies, use of prescription medications, and any special support requirements

If a student provides false information or if the School determines that the declared health condition would significantly interfere with continued study, admission approval may be revoked.

If a significant change occurs in a student's health condition during the period of study, the student must promptly report it to the School and, if requested, submit medical documentation from a healthcare provider.

If a student is diagnosed with, or is suspected of having, an infectious disease, the student must follow the instructions of medical professionals and may be required to comply with measures such as suspension from classes or isolation.

The School may provide health consultations or health guidance as necessary to help protect the health and safety of students; however, the School is not a medical institution and does not provide medical diagnosis or treatment. Students who require ongoing medication, medical treatment, or regular medical consultations due to pre-existing conditions or chronic illnesses are responsible for managing their own healthcare and following the instructions of their healthcare providers. If a student's failure to properly manage their health results in a deterioration of their condition and requires exceptional support from the School (for example, emergency assistance or continuous support relating to hospitalization), the School may charge the student or the student's parent, guardian, or financial sponsor for the costs incurred, including transportation, accommodation, and personnel expenses.

Article 8. Insurance Coverage

Students are required to enroll in Japan's National Health Insurance program and in the international student insurance plan designated by the School in order to prepare for accidents, illnesses, and potential liability to third parties while residing in Japan. These insurance programs are intended to provide coverage in the event of illness, injury, or liability for damages to third parties.

If a student fails to obtain coverage under required insurance programs, all medical expenses, liability claims, and related costs shall be the sole responsibility of the student, and the School shall bear no responsibility for such costs.

Article 9. Extracurricular Activities

Transportation costs, participation fees, and other expenses associated with extracurricular activities organized or introduced by the School (including excursions, field trips, and cultural experience activities) are not included in tuition fees and may need to be paid by the student, depending on the nature of the activity. Details regarding the content, location, and costs of such activities will be provided to students in advance. Students are responsible for any expenses incurred through participation unless otherwise specified by the School.

The School's international student insurance may provide coverage for accidents or injuries occurring during extracurricular activities within the scope of the insurance policy. However, the School shall not be liable for unforeseen incidents or matters arising from the student's own health condition or personal management thereof.

Article 10. Code of Conduct

Students must comply with the laws and regulations of Japan as well as the School's rules and policies. If any of the following conduct is confirmed, the student may be subject to disciplinary measures,including warning, suspension, or expulsion. In serious cases, the student may also be held civilly or criminally liable.

  • Nuisance behavior, harassment, or acts of violence
  • Taking photographs or videos that infringe upon the portrait rights of other students or staff members, or the copyright of School-related materials, and posting or distributing such content on social media or other platforms without the consent of the individuals concerned
  • Spreading false or misleading information about the School that may damage its reputation or interfere with its operations
  • Conduct that violates the provisions of Article 11
  • Any other conduct that disrupts the School's order and discipline or causes harm to the School

Article 11. Campus Etiquette and School Rules

Students must comply with the following rules in order to maintain campus order and a safe, comfortable learning environment.

  • Commuting to school by car or motorcycle is prohibited.
  • Taking photographs or videos that disregard the portrait rights of other students or staff members or the copyright of School-related materials, and posting such content on social media or other platforms, is prohibited.
  • Disorderly conduct, unauthorized photography or filming, the sale of goods, and solicitation for religious, commercial, or other purposes are prohibited both inside and outside classrooms.
  • Possession of dangerous items is prohibited.
  • Smoking is prohibited throughout the School premises. Where designated smoking areas are provided outside the campus, students must smoke only in those designated areas.
  • School facilities and equipment must be used appropriately and responsibly.
  • Serious violations of School rules, including damage to facilities or theft, may result in charges for repair or replacement costs, suspension, or expulsion.
  • Students are expected to actively participate in evacuation drills, health examinations, and guidance related to health, hygiene, and safety.

Article 12. Responsibility for Personal Belongings

Students are responsible for the safekeeping of their personal belongings brought onto School premises, including laptop computers, mobile phones, valuables, and other personal items. The School accepts no responsibility for loss, theft, or damage to such belongings.

Article 13. Disclaimer Regarding Designated School Recommendations

The School may provide students with information regarding designated school recommendation opportunities offered by partner universities, vocational schools, and other educational institutions.

However, such information does not guarantee admission or progression to the institution concerned. Admission decisions are made solely by the receiving institution based on factors such as the student's academic performance, attendance record, conduct, interview results, and submitted documents.

The availability of recommendation opportunities, recommendation requirements, and admission quotas may change from year to year and may be modified or discontinued without prior notice. The School shall not be liable for any disadvantage or loss resulting from such changes. Students are responsible for understanding the details of designated school recommendation systems and for making their own decisions and preparations regarding further education.

Article 14. Disclaimer Regarding Career Support

The School provides career support not only to students seeking further education, but also to students seeking employment. Such support may include assistance with preparing resumes and CVs, interview coaching, guidance on Japanese language expression, and the provision of information about prospective employers. However, these services are provided solely as supplementary support and do not guarantee employment, job offers, or placement with any particular company or industry.

Employment decisions are made solely by employers based on factors such as the student's abilities, suitability, language proficiency, work authorization status, and the employer's hiring policies. The School shall bear no responsibility for the outcome of any job application or employment process.

Students seeking employment in Japan are responsible for understanding the immigration and residency requirements necessary for employment in Japan (such as Designated Activities, Engineer/Specialist in Humanities/International Services, and other applicable statuses of residence) and for completing any required procedures at their own responsibility. If students have questions regarding residence status procedures, the School may introduce an administrative scrivener (immigration specialist) and provide guidance or support as appropriate.

Article 15. Disclaimer

The School shall not be liable if, due to natural disasters, earthquakes, outbreaks or spread of infectious diseases, civil unrest, war, instructions or directives issued by national or local government authorities, or any other force majeure event, face-to-face classes are changed to online classes, or if the School is temporarily or continuously unable to provide educational services. The School shall also not be liable for delays, interruptions, or discontinuation of studies resulting from circumstances attributable to the student.

Any refunds of fees already paid shall be handled in accordance with the separately established Refund Policy.

Article 16. Bring Your Own Device

For study at the School, students are required to bring and use an internet-enabled device, such as a personal computer, smartphone, or tablet.

To ensure smooth participation in learning activities, students must prepare a device that meets the following recommended system requirements:

Article 17. Privacy Policy / Handling of Personal Information

The School uses personal information obtained from students (including names, dates of birth, addresses, contact information, passport information, and health-related information) for the following purposes:

  • Enrollment procedures, residence status procedures, and preparation of visa-related documentation
  • Arranging services provided by transportation providers, accommodation providers, and other service providers, as well as procedures necessary for receiving such services
  • Class administration, attendance management, grade management, and emergency contact purposes
  • Student insurance procedures and the provision of information relating to further education, employment support, and career guidance
  • Except where required by law or with the student's consent, the School will not disclose or provide personal information to third parties.

  1. Except for diplomas and other one-time-issued documents, all documents must have been issued within three months prior to submission to the Immigration Services Bureau, whether issued in Japan or outside Japan. Original documents must be submitted.
